Because the officers and employees of BeNext Solutions ("we") have a responsibility to ensure the company contributes to society, on the basis of trust between people, through the service of IT recruitment, we have established the following Privacy Policy, which is in compliance with JIS Q 15001 (Japanese Industrial Standard Q 15001, hereinafter “the Standards”). In the future, all of our officers and employees will give due attention to personal information security with an understanding of the philosophy of this policy and continuously implement it. In so doing, we aim to live up to your expectations.

1. Acquisition, use and provision of personal information

Personal information is acquired, used, and provided within the limited range of a clearly specified purpose of use and by legal and fair means. (At the same time, we take measures to do it.) In addition, if the Standards demand any matters, we inform the appropriate persons of these matters and obtain their consent.

2. Appropriate control of personal information

We deal with personal information safely and accurately and try to reduce risks in this process. In particular, we take rational and appropriate steps to secure information security and prevent personal information from being lost, damaged, altered or leaked, for example, taking measures to counter unauthorized access and computer viruses.

3. Observance of laws and other standards

We observe laws and regulations related to personal information, guidelines stipulated by the national government, and other standards. Furthermore, we act in accordance with the privacy management systems meeting the Standards.

4. Continuous improvement in privacy management systems

We implement said systems and maintain, regularly review, and continuously improve them.

5. Complaint or consultation on personal information

We appropriately and quickly handle a complaint or consultation regarding personal information, and we strive to resolve all complaints.

This policy is disclosed to the public. In addition, we make it thoroughly known to employees, and we strive to provide them with education and raise their awareness regarding personal information protection.

Regarding the handling of personal information

To ensure the strict management of personal information, BeNEXT Solutions Inc. (“we”) take the steps listed below.

  1. We appropriately manage personal information according to our personal information protection manual and internal regulations.

  2. We use personal information for the purposes listed below. Further, with regard to the personal information we obtain, in instances where it is obtained directly from a person via document, in principle, we will individually specify the purpose of use.

    1. Personal information of individuals or corporate employees obtained through our company’s sales activities

    • For business contacts
    • For performing transactions, placing/receiving orders, requests, managing contacts
    • For offering other services provided by our company

    2. Personal information held by the trustee entrusted by our company

    • For design, manufacturing and test operations during system development,
    • For maintenance development and system maintenance after development

    3. Personal information relating to employees of our cooperating companies

    • For various placing/receiving of orders, requests, contract management, issuing entry passes and business contacts

    4. Personal information relating to employees of our company, temporary staff, and applicants for positions at our company

    • For considering adoption or rejection, deciding and recording, labor management after employment

    5. Personal information relating to registered temporary staff

    • For introducing and dispatching to customers, based on worker dispatch undertakings

    6. Records of entering and leaving our facilities, and footage taken from surveillance camera

    • For preventing criminal behavior inside facilities and security management

    In cases where our company uses personal information for purposes other than mentioned in the preceding paragraph, the person will be informed, and the information used only with the expressed consent of that person.

  3. Personal information is entrusted to contractors which have fulfilled our company’s standards for processing. Also, in principle, personal information is not provided to third parties other than contractors without the expressed consent of the person.

  4. Personal information is disclosed/corrected only upon confirmation of the person’s identity. In such situations, fees that apply for bank transfers, etc., will be collected. However, personal information entrusted to our trustee businesses is handled after confirming with entrusters. For details, please see our request process for personal information disclosure, etc.

  5. Provision of personal information is optional; however, adequate service may be impossible to provide if personal information is insufficient/incomplete.

Information on request procedures and disclosure, etc., of personal information

Personal information stored by our company is disclosed by means of request procedures for disclosure, etc., shown below. In addition, corrections will be made to personal information in cases where it contains factual errors.

1. Personal information for disclosure

Personal information for disclosure is personal information that is stored in our databases or information files and that is organized in a searchable state. However, where the business is only outsourced to our company, and our company is not authorized to disclose personal information, it will not be disclosed. Information listed in paragraph 2, items 1, 3, 4, and 5 of the above “Regarding handling of personal information” is subject to disclosure.

2. Intended use of disclosed personal information

The intended uses for all personal information for disclosure are specified in paragraph 2, items 1, 3, 4, and 5 of the above “Regarding handling of personal information.” However, where the business is only outsourced to our company, and our company is not authorized to disclose personal information, the information specified in paragraph 2, item 2, will not be disclosed.

3. Procedure to request disclosure of personal information

Send in the designated application form, Personal Information Disclosure and Correction Request Form, by registered mail, after you have filled out the items required (disclosure/correction/cessation of use). We will send you the form by postal mail.

5. Identity validation

We will confirm your full name, address, and phone number for purposes of identification. Attach a copy of any of the following certificates to the form you mail in: driver’s license (both back and front), passport, welfare handbook, health insurance card, or pension handbooks.
Notes:
1. Personal information related to the matter will be disposed of/deleted appropriately within one year after the reply to the request for disclosure has finished.
2. Personal information accompanying submitted applications for disclosure, etc., will be handled only to the extent that is required for the response to the disclosure request, such as identify verification, contact with the person regarding the request for disclosure, etc., or to verify if there is any doubt regarding the person’s identity, etc. The information will not be provided to third parties including the entruster. Also, please understand we cannot respond to disclosure requests in cases where identification documents are not submitted by the customer. Further, we will not acquire personal information by ways that are difficult for the person to recognize.

6. Reply from our company

We will send the results of correction, disclosure, etc., of personal information to you via postal mail.

7. If the person requesting disclosure is not the owner of the personal information

In principle, disclosure requests are accepted only from the person identified by the information or a representative of the person. In such situations, if there is mistaken information, correction procedures, etc., are performed immediately. In cases where someone other than the person is requesting disclosure, documentation must be enclosed that indicates the relationship with the owner of the personal information, including authorization documents and material confirming the identification of the person making the request.
